Purpose
The HBI Room is the Heritage Baptist Institute classroom on the second floor (room 201). Its primary use is HBI classes, taught in person with remote students joining over Microsoft Teams: the teacher wears a wireless lapel mic so remote students can hear, the room camera gives remote students a view of the class, and slides appear on the wall TV and are shared in Teams. The room audio system carries the meeting audio to the 70V ceiling speakers, so far-end callers are heard in the room.
On Wednesday evenings the room is used for Adult Bible Fellowship (ABF) in a slides-only mode: the TV shows slides and there is no audio system and no camera in use.
Operator Positions
| Operator Position | Discipline | Primary responsibility |
|---|---|---|
| HBI Presenter | Audio, Presentation, Video | Teaches or leads the class and runs the room A/V: joins Teams, checks the camera framing once, displays and shares slides, manages meeting audio |
Systems in This Room
| System | Purpose | Primary operator position |
|---|---|---|
| Teams meeting system | Hosts the remote students; the room camera and mics feed it | HBI Presenter |
| Presentation system | Mini PC → multi-format AV switcher → wall TV | HBI Presenter |
| Room camera | AVKANS NDI PTZ camera, framed once per class | HBI Presenter |
| Room audio | Flow 8 → amplifier → 70V ceiling speakers; far-end callers are heard in the room | HBI Presenter |
Equipment Inventory
| Equipment | Role in system | Notes |
|---|---|---|
| AVKANS AV-E20-NDI PTZ camera | Room camera for Teams | Mounted on the back wall near the ceiling; ONE ethernet cable to the campus UniFi switch carries all three: PoE power, VISCA control, and NDI video; framed ONCE per class via the Bitfocus Companion phone emulator (surface HBI, page 13 - HBI), then static for the whole class; preset recall exists but the preset NAMES are not identified; if the camera gets stuck (can’t be controlled / no NDI video), reboot PoE on the switch port via the UniFi software, or manually unplug/replug the camera’s ethernet cable |
| Mini PC (make/model not identified) | Hosts Teams for the class | In the front cabinet; Teams camera = the NDI camera via NDI Webcam Input; slides shared via a normal Teams screen share; powered 24/7; after a power outage it likely needs to be powered back on manually |
| Behringer Flow 8 | Meeting mixer for the mics and computer audio | In the cabinet; Sennheiser lapel → input 2; Shure SM58 handheld → input 1; USB to the mini PC; MAIN OUT (2× balanced XLR) → amplifier |
| Amplifier (make/model not identified; must be 70V-capable — verify from its faceplate) | Drives the 70V speaker line | In the cabinet; powered 24/7 |
| JBL ceiling speakers (count not identified; 70V distributed system) | Room speakers | Driven over the 70V line from the amplifier |
| Shure SM58 wired handheld | Misc classroom mic (student questions) | Input 1 on the Flow 8; feeds Teams so remote students hear questions; not typically on during class |
| Sennheiser EW-series wireless lapel (exact model/band not identified) | Teacher mic | Input 2 on the Flow 8; feeds Teams in a typical class; mics CAN be routed to the room speakers, but this does NOT happen in a typical class |
| Multi-format AV switcher (make/model not identified) | Presentation switching to the wall TV | HDMI out → wall TV; inputs: 2× HDMI (mini PC + a loose HDMI for a guest laptop) and RCA from the DVD player |
| DVD player (make/model not identified) | Legacy video source | Legacy — rarely if ever used; feeds the switcher over RCA |
| Point-to-point Cat6 KVM extender | Carries the mini PC HDMI + USB to the podium | Point-to-point — it does NOT go through network gear; the podium has 3 USB-A ports (mouse, keyboard, one spare for flash drives); slides can come from a network drive OR a USB flash drive at the podium |
| LG wall TV (~50”, model not identified) | Picture-only presentation display | HDMI; powered via IR remote; picture only — TV audio is not part of the room audio system |
| UniFi US-24-500W switch (campus network) | Provides PoE, VISCA control transport, and NDI video to the camera on one cable | Campus network gear; camera reboot uses the UniFi software PoE cycle on the camera’s port |

Everything in the HBI Room is designed to run 24/7 — power is not cycled between classes. The cabinet gear (mini PC, Behringer Flow 8, amplifier, multi-format AV switcher, DVD player) stays powered on, and the camera is PoE-powered from the UniFi switch rather than from its own supply. The wall TV is the one device that is turned off when the room is not in use, using its IR remote; the TV outlet stays on. After a power outage the mini PC likely needs to be powered back on manually with its power button.
Signal Flow
Meeting audio
The teacher wears the Sennheiser wireless lapel, which lands on Flow 8 input 2 and goes to Teams over USB in a typical class. The Shure SM58 handheld on input 1 is used for misc things such as student questions and also feeds Teams so remote students hear them; it is not typically on during class. In a typical class the mics feed Teams only — they CAN be routed to the room speakers, but this does NOT happen in a typical class.
Computer audio DOES go through the Behringer Flow 8: the Teams/computer return comes back over USB into Flow 8 CH 5/6, out MAIN to the amplifier, and on to the 70V ceiling speakers, so far-end callers are heard in the room through the ceiling speakers. The wall TV is picture-only and carries no audio.
See the design note under Training and Notes for the echo-avoidance routing that keeps this return out of the Teams mic path.

Far-end callers -> Teams on the mini PC -> USB return (USB OUT 1/2 into Flow 8 CH 5/6) -> MAIN -> amplifier -> 70V ceiling speakers
Presentation video
The mini PC drives the presentation: its HDMI output goes through the multi-format AV switcher to the wall TV, and the same slides are shared to remote students through a normal Teams screen share. A guest laptop can be connected through the switcher’s loose HDMI input, and the legacy DVD player feeds the switcher over RCA (rarely if ever used). Slides can be opened from a network drive or from a USB flash drive inserted at the podium (the point-to-point Cat6 KVM extender carries the mini PC’s HDMI and USB to the podium).

Camera and network
The AVKANS camera is mounted on the back wall near the ceiling and connects to the campus UniFi switch with ONE ethernet cable. That single cable carries all three: PoE power, VISCA control, and NDI video. The mini PC receives the camera’s NDI video over the same network and exposes it to Teams through NDI Webcam Input. The camera is framed ONCE per class through the Bitfocus Companion phone emulator (surface HBI, page 13 - HBI) — pan/tilt/zoom are set at the start of class and the camera stays static for the whole class. If the camera gets stuck (can’t be controlled / no NDI video), reboot PoE on the switch port via the UniFi software, or manually unplug/replug the camera’s ethernet cable.

Pre-Service Checks
- Turn the wall TV on with its IR remote and confirm it is on the multi-format AV switcher input.
- Confirm the mini PC is on, Teams is open, and the coordinator’s meeting invite is available.
- Confirm the Behringer Flow 8 is powered and connected to the mini PC over USB. No phantom power is needed on the Flow 8 mic inputs for these mics.
- Check the wireless lapel is charged and its receiver is on.
- Confirm the camera framing once via Companion page
13 - HBI— pan/tilt/zoom set for the class, then leave it static. - Confirm slides are accessible (network drive, or a USB flash drive inserted at the podium).
- For the first class of the day, check that far-end callers can be heard in the room (computer audio → Flow 8 USB return → CH 5/6 → MAIN → amplifier → ceiling speakers).
Startup
- Turn the wall TV on with its IR remote on the multi-format AV switcher input.
- Wake the mini PC if needed and open Teams.
- Join the meeting from the mini PC — the coordinator sends the meeting link ahead of time, typically as a recurring invite, and the teacher joins when class starts.
- In Teams, confirm the camera is available (NDI Webcam Input) and, if needed, frame it once via Companion page
13 - HBI; then leave it static. - Display the slides on the wall TV (network drive or flash drive at the podium) and share them in Teams with a screen share.
- Do a quick audio check with a remote participant, or confirm the pre-service far-end check was completed.
ABF mode (Wednesday)
Adult Bible Fellowship uses the room slides-only: power on the mini PC and open the slides on the wall TV. There are no audio-system or camera steps in ABF mode — do not power up the audio chain or frame the camera.
Shutdown
- End or leave the Teams meeting.
- Turn the wall TV off with its IR remote.
- Leave all other gear powered on — the room runs 24/7 by design: do not power off the Flow 8, the amplifier, or the camera.
Common Failures and Troubleshooting
| Symptom | Likely cause | First response | Escalate when |
|---|---|---|---|
| No camera picture in Teams | Camera stuck or NDI lost (the camera occasionally locks up and can’t be controlled / has no NDI video) | Reboot PoE on the camera’s UniFi switch port in the UniFi software, or manually unplug/replug the camera’s ethernet cable | PoE reboots and replugging do not restore video; contact the AV director |
| Far-end callers can’t be heard in the room | Amplifier off, USB return not routed to CH 5/6, or the return level is down | Check the Flow 8 MAIN level, confirm the amplifier is powered, and confirm the USB return is routed into CH 5/6 (or 7/8) | Audio still does not return after those checks |
| Remote students can’t hear the teacher | Lapel muted or off, receiver off, Flow 8 ch 2 fader down, or Teams mic selection wrong | Check each in order: lapel on and un-muted, receiver on, Flow 8 ch 2 fader up, Teams mic set to the Flow 8 | Remote audio is still missing; contact the AV director |
| Echo or feedback | USB return mixed into the bus Teams uses as its mic source | Confirm the return is routed to CH 5/6 (or 7/8) and out of the Teams mic bus; keep Teams echo cancellation enabled | Echo persists after the routing is confirmed |
| Mini PC won’t start after a power outage | It needs a manual power-on | Press the mini PC power button | The mini PC still does not boot; contact the AV director |
| No TV picture | Wrong TV input or wrong switcher input | Check the TV input is the multi-format AV switcher and the switcher is on the correct HDMI input (mini PC) | Picture still does not return; contact the AV director |
Training and Notes
- Design note — echo-avoidance routing (non-negotiable): The Flow 8 has NO automatic mix-minus on its USB send. If the computer’s USB return is mixed into MAIN and Teams uses MAIN as its mic source, far-end callers hear themselves. The documented safe routing brings the Teams/computer return into the Flow on CH 5/6 (or 7/8) via USB OUT 1/2 (or 3/4), feeds the room amp from there (into MAIN for the speakers), and keeps that return OUT of whatever bus Teams uses as its mic source; keep Teams echo cancellation enabled. This routing lives in the Flow 8 setup.
- ABF mode: Wednesday Adult Bible Fellowship uses the room slides-only — the TV and mini PC, with no audio system and no camera. Do not power up the audio chain or frame the camera for ABF.
- Camera presets: preset recall exists on Companion page
13 - HBI, but the preset NAMES are not identified — the presenter frames the camera once at the start of class rather than relying on named presets. - Slides sources: slides can come from a network drive or from a USB flash drive inserted at the podium (the podium’s spare USB-A port).
- 24/7 power convention: everything stays powered — shutdown only turns the TV off. After a power outage the mini PC likely needs a manual power-on.
- DVD player: legacy — rarely if ever used; it feeds the multi-format AV switcher over RCA.
- The broader cross-room Companion architecture and page map are documented in Bitfocus Companion Cross-Room Reference.
