Before You Start

  • Confirm the class time and that the coordinator’s meeting link or invite is available — it is typically a recurring meeting invite sent ahead of time.
  • Check the lapel battery and that its receiver is on.
  • Turn the wall TV on with its IR remote and confirm it is on the multi-format AV switcher input.
  • Know where the slides are coming from — a network drive or a USB flash drive to insert at the podium.

Quick-Start Checklist

  1. Power on the TV (IR remote) on the right input.
  2. Wake the mini PC if needed.
  3. Open Teams and join the meeting.
  4. Confirm the camera shows the room (NDI Webcam Input) and frame it once via Companion page 13 - HBI if needed.
  5. Check you can hear and be heard (audio check).

What You Are Responsible For

You are responsible for running the HBI class over Microsoft Teams: joining the meeting, framing the room camera once, showing the slides on the wall TV, sharing them with the remote students, and keeping the meeting audio clear for everyone. On Wednesday you may be in ABF mode, which is slides-only — no audio system, no camera.

What Good Looks Like

  • Remote students see the teacher and the slides and hear clearly.
  • The local class hears far-end callers through the ceiling speakers without echo.
  • The camera stays framed for the whole class after the one-time setup.
  • Slides are visible on the wall TV and shared in Teams.

Operating Steps

  1. Turn the wall TV on with its IR remote and confirm it is on the multi-format AV switcher input.
  2. Wake the mini PC if needed (it runs 24/7, but a power outage may have left it off — press the power button).
  3. Open Teams from the mini PC and sign in if needed.
  4. Join the meeting from the recurring invite; class starts when the teacher joins.
  5. If the camera is not showing in Teams, start NDI Webcam Input on the mini PC and select the camera as the Teams video source.
  6. Frame the camera once via the Companion phone emulator (scan the room QR code, surface HBI, page 13 - HBI): pan/tilt/zoom to the class, then leave it static for the whole class.
  7. Display the slides on the wall TV, from the network drive or from a USB flash drive inserted at the podium — the point-to-point Cat6 KVM extender carries the keyboard, mouse, and flash drive to the mini PC.
  8. Share the slides in Teams with a screen share so remote students see them too.
  9. Do a quick audio check with a remote participant: your lapel is heard on the far end, and you can hear them in the room through the ceiling speakers.
  10. Keep the handheld mic muted when not in use — it feeds Teams for student questions.
  11. At the end, leave the meeting and turn the TV off.

ABF mode (Wednesday)

ABF is slides-only: turn the TV on, wake the mini PC, and display the slides. Skip the audio and camera steps — no Teams meeting, no mic checks, no camera framing.

Common Problems and First Responses

Problem First thing to check What to do next When to escalate
No camera picture in Teams Whether the camera is stuck or has lost NDI video Reboot PoE on the camera’s UniFi switch port in the UniFi software, or unplug/replug the camera’s ethernet cable (it is on the back wall near the ceiling) PoE reboots and replugging do not restore video; contact the AV director
Far-end callers can’t be heard in the room Whether the Flow 8 MAIN is up and the amplifier is on Check the Flow 8 MAIN level, confirm the amplifier is powered, and confirm the Teams/computer return is routed to CH 5/6 (or 7/8) Audio still does not return; contact the AV director
Remote students can’t hear you Whether your lapel is on and the receiver is powered Check the lapel is on and un-muted, the receiver is on, the Flow 8 ch 2 fader is up, and Teams is using the Flow 8 as its mic Remote audio is still missing; contact the AV director
Echo or feedback Whether the computer’s return audio is mixed into the Teams mic path Routing lives in the Flow 8 setup — the return belongs on CH 5/6 (or 7/8), out of the Teams mic bus; keep Teams echo cancellation on Echo persists; contact the AV director
The mini PC is off after a power outage Whether it just needs a manual power-on Press the mini PC power button It still will not boot; contact the AV director
No TV picture Whether the TV is on the right input Check the TV input is the multi-format AV switcher and the switcher is on the HDMI input for the mini PC Picture still does not return; contact the AV director
The camera needs reframing Whether Companion page 13 - HBI is open on your phone Open the Companion emulator (surface HBI, page 13 - HBI) and pan/tilt/zoom to the class; then leave it static The camera will not respond to Companion; contact the AV director

Helpful Context

  • Teams uses the Flow 8 for its mic and speakers and the NDI camera for its video. The teacher’s lapel and the handheld go into the Flow 8, and the Flow 8 connects to the mini PC over USB.
  • Far-end audio comes out of the ceiling speakers: the computer’s return goes into the Flow 8 on CH 5/6 and out MAIN to the amplifier, so you hear remote callers in the room. The wall TV is picture-only.
  • The simple echo rule: the computer’s return audio must stay out of the path Teams uses as its mic. That routing lives in the Flow 8 setup, so you do not change it — just leave Teams echo cancellation on.
  • The camera is controlled only from the Companion emulator and should stay static during class. It is framed once at the start, then left alone.

Shutdown or Handoff

  • Leave the Teams meeting at the end of class.
  • Turn the wall TV off with its IR remote.
  • Leave all other gear powered on — the room runs 24/7 by design; do not power off the Flow 8, the amplifier, or the camera.
  • If anything went wrong (camera issues, audio problems, missing cables), note it for the next operator or hand back to the coordinator or the AV Leader on Duty.
