Before You Start
- Confirm that you are serving as the Projection operator in the Auditorium.
- Make sure the ProPresenter application is running on the ProPresenter Mac mini.
- Have the paper service order available so you can compare it to the ProPresenter playlist.
Quick-Start Checklist
- Compare the ProPresenter playlist to the paper service order.
- Confirm that all songs, Bible verses, sermon slides, videos, and announcement content are present.
- Check that songs and Bible verses are set up to use Lower Thirds for the livestream.
- Check that other content is set up to use the full-screen Audience View.
- Verify that slide actions set the correct Stage Display layout for songs versus other content.
- If the projectors did not turn on automatically, use the All Projectors On button on the Projection Stream Deck in front of the ProPresenter screen and wait a minute or two.
What You Are Responsible For
You are responsible for running ProPresenter so the right content reaches the Auditorium projectors, the livestream graphics path, and the Stage Display. You are not responsible for switching cameras or mixing the livestream, but your output choices directly affect both of those areas.
What Good Looks Like
- The correct content is always ready in ProPresenter before the service starts.
- Songs and Bible verses appear as Lower Thirds for the livestream.
- Sermon slides, announcement slides, and videos appear as full-screen Audience View.
- The Stage Display shows the correct layout for the current type of content.
- Projectors are on and showing the expected content before the service begins.
- Between service elements that use slides, the screens are cleared back to the logo slide instead of being left on the previous content.
Operating Steps
- Open ProPresenter and review the playlist against the paper service order.
- Check every needed presentation item before service starts.
- Verify the slide actions on songs and Bible verses so they drive the livestream Lower Thirds output correctly.
- Verify the slide actions on videos, sermon slides, and other non-lyric content so they use the full-screen Audience View.
- Confirm the Stage Display behavior is correct for song content and non-song content.
- During the service, follow the paper order of service as your main guide.
- Between service elements that use slides, click the Clear to Logo button on the top right of the ProPresenter screen below the preview window.
- During songs, advance each lyric slide when the song reaches the second-to-last word on the current slide so the next slide reaches the screens on time.
- During sermon slides, listen for the pastor’s spoken cues rather than waiting for an explicit “next slide” instruction.
- If projectors fail to turn on automatically, use the All Projectors On button on the Projection Stream Deck in front of the ProPresenter screen.
- If they still do not turn on after waiting, use the on-stage IR remote from one of the side table drawers on stage.
Common Problems and First Responses
| Problem | First thing to check | What to do next | When to escalate |
|---|---|---|---|
| Projectors did not turn on automatically | Whether the projectors are still off after the normal automatic start time | Use the All Projectors On button on the Projection Stream Deck in front of the ProPresenter screen and wait a minute or two | The projectors still do not turn on after using the on-stage IR remote; escalate to the AV Leader on Duty |
| Wrong graphics format is reaching the livestream | Whether the current content should be Lower Thirds or full-screen Audience View | Check and correct the slide actions in ProPresenter | The output still does not change after the slide actions are corrected; escalate to the AV Leader on Duty |
| Stage Display is showing the wrong layout | Whether the current slide has the right Stage Display action | Correct the slide action for the current content type | The Stage Display still does not change after the action is corrected; escalate to the AV Leader on Duty |
Helpful Context
- ProPresenter sends three important output paths:
- full-screen Audience View for the Auditorium projectors
- Key and Fill feeds for livestream Lower Thirds in vMix
- an HDMI feed for the Stage Display
- Songs and Bible verses are the only content types that use Lower Thirds.
- Everything else uses the full-screen Audience View.
- The Stage Display shows current and next lyrics for songs, and for other content it shows the same main content plus a clock.
- Projection flow follows the paper order of service, but sermon-slide timing depends on listening for the pastor’s spoken cues.
- The Clear to Logo button is on the top right of the ProPresenter screen below the preview window.
- The Projection Stream Deck is physically in front of the ProPresenter screen.
- The projector IR remote is kept in one of the side table drawers on stage.
Shutdown or Handoff
- Click the Announcements playlist on the left side of the ProPresenter screen, then click the first slide in that presentation so the announcement slides begin looping.
- Leave ProPresenter running for the next service unless a leader tells you otherwise.
- The projectors shut off automatically later; you do not need to power them down manually under normal conditions.
- Note any missing content, wrong actions, or projector issues for the next operator or the AV Leader on Duty to correct.
