Auditorium Livestream Video (vMix) Volunteer Role Guide

Task-focused guide for the Auditorium Livestream Video position — switching the main livestream in vMix, controlling PTZ cameras, scheduling and starting streams, and coordinating Lower Thirds with Projection, with quick-start checklist and first responses to common problems.

Document Control

Before You Start

  • Confirm that you are serving as the Livestream Video operator in the Auditorium.
  • Arrive at least 15 minutes before the service start time so you can confirm the livestream system is working.
  • Be at the vMix position in the AV Room.
  • Have the paper service order available before service starts.

Quick-Start Checklist

  1. Confirm all cameras are on.
  2. Set camera movement and zoom speed to a level you can control cleanly; many operators use 8 for both.
  3. Review the paper service order so you know the flow of the service.
  4. Before the 5-minute mark, go to Stream Deck -> Utilities, press New CBC Stream, wait a few seconds, then press New ASL Stream.
  5. Open YouTube Studio and confirm the correct streams are scheduled, remove any duplicates, and rename the stream for special services when needed.
  6. Verify that FOH Source Mode is actually in the intended state on the Wing; if needed, toggle the button on and back off to re-sync the Stream Deck indicator.
  7. Around 5 minutes before service, use the single Stream Deck Stream button that starts both the main stream and the ASL stream.
  8. About 30 seconds before service starts, confirm that Audio Dante Receive is showing movement and that the audio has switched from pre-service music to the live service feed.

What You Are Responsible For

You are responsible for switching the main livestream in vMix, controlling the PTZ cameras, starting the livestreams, coordinating livestream Lower Thirds with the Projection operator, and keeping the livestream system aligned with the ATEM when needed. When there is no Livestream Audio operator, you also own switching the Wing into FOH Source Mode.

What Good Looks Like

  • Cameras are on and ready before the service starts.
  • The main livestream and ASL scheduling workflow are prepared before service without duplicate events in YouTube Studio.
  • The correct camera or graphic source is live at the right time, and each shot is fully lined up before it goes live.
  • Shots stay centered and steady instead of drifting or panning live without a reason.
  • The stream starts on time and is confirmed live.
  • Lower Thirds appear during songs and verses when needed, then turn off cleanly.
  • Invitation and baptism moments are handled with the expected camera choices.
  • FOH Source Mode is only used when it is actually needed.

Operating Steps

  1. Arrive at least 15 minutes before service and confirm the livestream workstation is behaving normally.
  2. Confirm all cameras are powered on.
  3. Set camera movement and zoom speed to a value you can control smoothly; many operators use 8 for both.
  4. Review the paper service order so you know what is coming in the service.
  5. Before the 5-minute mark, go to Stream Deck -> Utilities, press New CBC Stream, wait a few seconds, then press New ASL Stream.
  6. Open YouTube Studio and confirm the correct streams are scheduled, remove duplicates if someone pressed the button twice, and rename the event for special services when needed.
  7. Verify the current FOH Source Mode state before service.
  8. Around 5 minutes before service, use the single Stream Deck Stream button that starts both the main stream and the ASL stream.
  9. About 30 seconds before the service starts, confirm that Audio Dante Receive is showing movement and that the service audio has replaced the pre-service music.
  10. During the service, use vMix as the main live-switching surface.
  11. Build the next shot on a camera that is not live, line it up completely, and then use Quick Play on the Stream Deck when you are ready to take it live.
  12. For smooth preset-to-preset movement, press and hold the destination preset after selecting the current position; for example, press Choir L and then press and hold Choir R.
  13. Keep shots centered as much as possible; in normal speaking shots, the speaker’s head should sit about one-third of the way down from the top of the frame.
  14. Avoid moving a camera manually during a live shot unless you have no better option; use a movement preset to pan whenever possible.
  15. During songs and Bible verses, coordinate with the Projection operator and turn on Lower Thirds from the Stream Deck. If the verse look is wrong in preview, use Lower Left instead.
  16. During invitation, do not show the audience or altar. Use the piano shot when the preacher is not speaking, and switch back to the podium when he is.
  17. Near the end of the service, watch for a baptism and use the Baptism preset on CAM2 when needed.
  18. If no Livestream Audio operator is present, switch the Wing into FOH Source Mode.

Common Problems and First Responses

Helpful Context

  • vMix is the primary live-switching surface for the livestream.
  • The ATEM mainly distributes camera and ProPresenter sources into vMix.
  • The ATEM also produces the House Overflow Feed for the lobby and nursery TVs through Mix Effect 2.
  • The vMix-ATEM Sync Service mirrors the operator’s vMix switching state to the ATEM when those outputs need to stay aligned.
  • The main Program Feed goes by RTMP to an Azure Ubuntu relay server, which then distributes to YouTube, Facebook, and SermonAudio.
  • The ASL Feed is a picture-in-picture output with the deaf signer prominent and the main program feed in the lower-right corner.
  • The operator only needs to schedule the ASL livestream; the ASL layout itself is fixed once it is set up.
  • Camera presets are normally triggered from the Stream Deck, and the Canon RC-IP100 controller is used for manual PTZ adjustments.
  • The Stream Deck and the Canon RC-IP100 controller are both in front of the vMix computer monitors.
  • The Stream Deck Utilities page includes the stream scheduling buttons, the live Stream button, and the Post Service button.
  • Quick Play is the normal way to take a fully prepared shot live after you have lined it up on a camera that is not already on program.
  • Audio Dante Receive is the normal audio source to watch right before service starts so you can confirm the handoff from pre-service music to live service audio.
  • Many operators use move speed 8 and zoom speed 8, but clean control matters more than matching someone else’s preference exactly.

Shutdown or Handoff

  • At the end of the service, press the Post-Service Button on the top right of the Stream Deck Utilities page.
  • That action handles both the main stream and the ASL Feed.
  • Make sure it switches the program feed to ProPresenter announcements.
  • It puts the ProPresenter input on program, fades out the livestream audio from the Wing, fades in the pre-service/post-service piano playlist, and starts a timer that automatically stops the stream after about 60 seconds.
  • Note any stream-start problems, FOH Source Mode sync issues, or camera-control issues for the next operator or the AV Leader on Duty.
